Scope of Works
My role is providing support andassistance to ensure the smooth functioning of the executive’s office. Here are some key responsibilities and aspects of role:
Calendar Management: Organize and manage the Principal’s schedule, including appointments, meetings, and events. Ensure the Principal is well prepared for each commitment.
Communication: Act as a liaison between the Principal and other team members, guests, and external contacts. Handle incoming calls, emails, and correspondence on behalf of the Principal.
Travel Arrangements: Coordinate and arrange travel plans, including flights, accommodations, and transportation, considering the Principal’s preferences and the demands of the schedule.
Documentation and Record Keeping: Maintain and organize important documents, records, and files. Ensure that necessary materials are readily available for meetings and presentations.
Meeting Coordination: Schedule, prepare agendas, and coordinate logistics for meetings. Take minutes when required and follow up on action items to ensure completion.
Confidentiality: Handle sensitive information with the utmost discretion and maintain a high level of confidentiality in all matters related to the Principal’s office.
Task Prioritization: Assist in prioritizing tasks and projects to ensure that thePrincipal’s time is optimized for maximum efficiency and effectiveness.
Project Support: Provide assistance on various projects as directed by the Principal. This may involve research, data analysis, and coordination with different departments.
Problem Solving: Anticipate potential issues and proactively address them. Act as a troubleshooter and find solutions to challenges that may arise in the Principal’s absence.
Representative Role: Act as a representative of the Principal when dealing with internal and external stakeholders. Maintain a professional and positive demeanor in all interactions.
Follow-Up: Ensure that tasks and projects assigned by the Principal are completed in a timely manner. Follow up on outstanding items and provide regular updates.
Continuous Improvement: Identify opportunities to streamline processes and enhance the efficiency of the Principal’s office. Propose and implement improvements where possible.

Requirements :
- Candidate must possess at least a Master’s Degree / Post Graduate Degree, Architecture, Finance/Accountancy/Banking, Human Resource Management, Linguistics/Languages, Secretarial or equivalent
- At least 2 year(s) of working experience in the related field is required for this position
- Preferably Supervisor / Coordinators specializing in Secretarial/Executive & Personal Assistant or equivalent
