Job Title: Personal Assistant to CEO

We are looking for a talented, motivated, and proactive female Personal Assistant to work closely with the CEO to manage both professional and personal responsibilities.
This is an exciting opportunity for a highly organised and resourceful individual to become the CEO’s personal assistant and right hand. You will assist with scheduling, administrative tasks, client meetings, and site visits, ensuring smooth day-to-day operations. The role requires someone who is proactive, detail-oriented, and comfortable managing various tasks in a fast-paced and dynamic environment.
Prior experience in the real estate or architecture industry is a strong plus.
Key Responsibilities
1. Schedule and Calendar Management:
* Organize and maintain the CEO’s personal and professional calendar, including appointments, meetings, and events.
* Ensure timely reminders and prioritize tasks based on deadlines and importance.
2. Meeting and Site Visit Support:
* Act as the CEO’s right hand during client meetings, site visits, and project discussions.
* Take detailed notes, prepare meeting minutes, and draft reports for both internal and client use.
* Follow up on action items and ensure clear communication with all parties.
3. Personal Errands and Support:
* Handle personal errands such as shopping, coordinating deliveries, and managing household tasks.
* Book reservations, travel arrangements, and accommodation for personal and business trips.
4. Administrative and Project Support:
* Manage emails, correspondence, and follow-ups on behalf of the CEO.
* Liaise with vendors, suppliers, and contractors for both personal and business tasks.
* Maintain organized records of contracts, invoices, and other important documents.
5. Event and Travel Coordination:
* Plan personal and professional events, such as dinners, meetings, and social gatherings.
* Organize travel itineraries, bookings, and logistics for the CEO.
6. Hybrid Work Flexibility:
* Work remotely with the ability to provide on-site support in Bali or other locations as required.
* Use transportation (motorcycle or car) for errands and site visits.
Qualifications
* Proven experience as a personal assistant or in a similar support role.
* Fluent in English
* Strong communication abilities, both written and verbal
* Experience in the real estate, architecture, or construction industry is a strong advantage.
* Highly organised with excellent time management and multitasking skills.
* Proficient in using Microsoft Office and other management tools.
* Discretion and professionalism when handling sensitive information.
Requirements:
* Based in Bali or willing to move to Bali
* Valid motorcycle license and access to reliable transportation.
* Availability to work full-time with occasional flexibility for urgent tasks or events.
* Comfortable working in a female-led, collaborative environment.
